Safety is non‑negotiable. Use this quick checklist 48 hours before doors open: venue access plan; medical response contact; crowd flow map; emergency exits posted; staff radios tested; fire extinguishers located; accessible routes confirmed; hydration and heat plan; evacuation lead assigned; security briefed; PPE inventory checked; and incident reporting form prepared.

Assign each item to a named person and confirm via a single shared doc or checklist app. Run a 10‑minute safety briefing with all staff 30 minutes before doors and give one printed safety card to every supervisor. After the event, log any safety incidents and one suggested fix into your ops playbook.

Safety planning reduces risk and increases client confidence. Keep the checklist short, assign accountability, and review after each event to incrementally improve.
